The Night Reception is a service of Lang IT Services Inc., based in Calgary, Alberta, Canada. This page explains, in plain language, what personal information we handle, why we handle it, who we share it with, and how to reach us. It covers our website and the front-desk service.

1. Two kinds of people

We handle two different groups, and our role is different for each.

  • Businesses that use the service. For their account and configuration information, we are responsible for that information.
  • People who contact those businesses through their website. These are the business's visitors and enquirers. The business decides what happens with their information; we process it on the business's behalf, only to provide the service.

2. What we collect

From enquiries

When someone contacts a business through web chat, its contact form, or email to its Night Reception address, we handle what they choose to share: their name, email address, phone number, the message or conversation, the time, and the language they wrote in. Where the business uses a booking link, we share that link; we do not book or confirm a time.

From businesses

Business name, notification email addresses, website domains, a booking link if one is used, business hours, and any front-desk instructions the business gives us. This is used to run that business's desk.

Technical and operational data

To run and protect the service, we process technical request data such as the website a request came from, and basic information like IP address, for security and rate limiting. We keep records of enquiries, of notifications sent, and of which model served a reply, for troubleshooting.

If you write to us

If you email us, we keep the message and your address so we can reply.

3. Why we use it

  • To answer an enquiry, capture it, draft a reply for the business, and email the business.
  • To configure and run the front desk for a business.
  • To keep the service secure and prevent abuse.
  • To support the service and fix problems.

We do not use enquiry content for advertising, and we do not sell personal information.

4. AI processing

Replies and draft replies are generated by AI models reached through Vercel's AI Gateway. We set a data control on each request so it is routed only to providers that do not train on prompts. We do not use your content to train models. A person at the business reviews and sends any reply to a form or email enquiry; the desk never sends to an enquirer automatically.

5. Who we share it with

We use a small number of service providers to run the product. We share only what each one needs, and we do not sell or rent personal information.

  • Vercel — website hosting and the AI Gateway. United States.
  • Neon — database. United States.
  • Resend — sending and receiving email. United States.
  • AI model providers reached through the AI Gateway — these vary; destinations vary. Prompt data is sent to them to generate a reply, under the no-training control above.

We may also disclose information if the law requires it.

6. Where your information goes

The providers above are mainly located in the United States, so personal information may be transferred to and stored outside Canada. We choose providers that we consider appropriate for the service, and we limit what is sent to what each provider needs.

7. How long we keep it

Enquiry records are kept for a business while it uses the service, so the business has a history of its enquiries to work from. Our email provider and the AI Gateway delete prompts and outputs after each request. If you would like to access, correct, or delete personal information, contact us. Where the information belongs to a business's enquiries, we will work with that business to handle your request.

8. Security

We use reasonable technical measures to protect the information we handle, including encryption in transit and access controls. No method of storage or transmission is completely secure, so we cannot promise absolute security.

9. Health information

The service is not designed for personal health information. Please do not send health or medical details through it.

10. Children

The service is meant for businesses and their customers. It is not directed to children, and we do not knowingly collect their information.

11. Cookies

Our website does not use advertising or cross-site tracking. When someone signs in to the client portal, we set a session cookie that keeps them signed in; it is required for the portal to work.

12. Changes

If we change this policy, we will update this page and the date at the top.
